1. PURPOSE AND LEGAL BASIS OF PROCESSING YOUR PERSONAL DATA

Within the framework of the Motivation Barometer, Ghent University processes personal data on the basis of your explicit consent.

The personal data you provide will be processed by us with the utmost care and attention in order to carry out scientific research.

  1. WHO IS THE DATA CONTROLLER AND HOW CAN YOU CONTACT US?

This scientific research is conducted under the direction of Prof. Dr. Maarten Vansteenkiste, affiliated with Ghent University.

Ghent University acts as the data controller.

For questions, remarks or suggestions you can contact the staff members of the motivation barometer at Ghent University by mail at ontwikkelingspsychologie@UGent.be.

For further questions about the various rights and obligations in the field of privacy, or if you believe that your personal data are being processed unfairly and/or incorrectly by the motivation barometer employees at Ghent University, you can also contact the Data Protection Officer of UGent at . privacy@ugent.be.

  1. WHAT PERSONAL DATA ARE PROCESSED?

"Personal data" is data containing information about an identified or identifiable natural person.

In connection with your participation in this study, the following data will be recorded: your gender, age, degree, work situation, province, number of children, comorbidity, and nationality of your parents. You will also be asked about your religion or belief. If, at the end of the survey, you indicate that you would like to be contacted again, your e-mail address will also be stored.

All data will be processed and stored pseudonymously (i.e. not directly identifiable). The results will be reported anonymously in scientific publications.

  1. WHO HAS ACCESS TO YOUR PERSONAL DATA?

The staff members of the Motivational Barometer affiliated with Ghent University have access to your personal data on a strict "need-to-know" basis. This means for scientific purposes only. Consequently, this access only applies to the purposes mentioned in this privacy statement.

Motivational Barometer staff members at Ghent University ensure that your data is not disclosed to third parties, except when you have given your prior consent or when the access, use, preservation or disclosure of your personal data is reasonably necessary (e.g. to comply with applicable regulations, to detect technical or security problems, to protect the rights, property or safety of Motivational Barometer staff members at UGent).

  1. HOW LONG WILL YOUR PERSONAL DATA BE PROCESSED?

Your personal data will be processed and kept for five years after the publication of the publications based on these data and after the end of the agreement on the financing of the research. After this period, your data will be deleted.

  1. SECURITY OF YOUR PERSONAL DATA

The staff members of the Motivational Barometer affiliated with UGent take appropriate technical and organisational measures to secure your personal data against any form of loss or unlawful processing, as described above, access to your data is restricted and the data is located on a secure server within Ghent University.

All data will be processed and stored pseudonymously (i.e. not directly identifiable). The results will be reported anonymously in scientific publications.

  1. WHAT RIGHTS DO YOU HAVE IN RELATION TO THE PROCESSING OF YOUR PERSONAL DATA?

When we collect and use your personal data, you enjoy a number of rights which you can exercise as set out below. Please note that if you wish to exercise a right, we may ask you to provide proof of identity. We do this to prevent a breach related to your personal data, for example, because an unauthorised person is acting on your behalf and exercising a right over your name.

  1. You have the right to access your personal data, which means that you can ask us to provide you with information about the personal data we hold about you. You can also request a copy of your personal data. Please note that you must specify the processing activities for which you want access to your personal data.
  2. You have the right to request that we correct your personal data if you can prove that the personal data we are processing about you is incorrect, incomplete or out of date.
  3. As we have requested and obtained your consent to collect and use your personal data, you have the right to withdraw this previously given consent. This withdrawal shall not affect the lawfulness of the processing of personal data already carried out on the basis of this consent.
  4. You may request us to delete your personal data if it is no longer necessary for the purposes for which it was collected, if it was unlawful to collect or if you successfully exercised your right to withdraw consent, up to the point where the data has been anonymised. If any of these circumstances apply, we will delete your personal data immediately, unless legal obligations or administrative or judicial orders prohibit us from deleting your personal data.
  5. In the following circumstances, you can ask us to restrict the processing of your personal data:
    1. while we assess your request to correct your personal data;
    2. if such processing was unlawful, but you prefer a restriction to deletion;
    3. if we no longer need your personal data, but you need it for the establishment, exercise or defence of legal claims.

In order to exercise your rights, you can contact the Motivation Barometer employees affiliated with UGent via the mail address ontwikkelingspsychologie@ugent.be or with the Data Protection Officer via privacy@ugent.be. If your request proves to be justified, we will inform you within 30 days after receipt of your request.

If you repeatedly make the same request and cause significant inconvenience, we may refuse these successive requests or charge you a handling fee. We may also deny you the right to access your personal data, or only grant you partial access, if such access could disproportionately harm the rights and freedoms of others, including Ghent University.

If you have a complaint about the processing of your personal data, you can contact the Data Protection Officer at privacy@ugent.be. If you are not satisfied with the answer, you can submit a complaint to the Belgian Data Protection Authority (contact@apd-gba.be) and/or the Flemish Supervisory Commission (contact@toezichtcommissie.be).

  1. AMENDMENTS TO THE PRIVACY STATEMENT

This Privacy Statement may be amended to remain in compliance with applicable regulations.

If the privacy declaration is amended, this will be announced on our website www.motivatiebarometer.com and the link to the amended privacy statement will be included on the same website.
